The Complete Guide to Booking an RPO Appointment in 2026

Published March 5, 2026 · 8 min read

Getting a passport in India should be straightforward. You fill out an application, book an appointment, visit your local Regional Passport Office, and collect your passport a few weeks later. In practice, the booking part trips up thousands of people every single day.

This guide walks you through every stage of the RPO appointment process, from account creation to showing up on the day of your appointment. Whether this is your first passport or a renewal, the steps below will give you a clear picture of what to expect.

Step 1: Create Your Passport Seva Account

Before you can book anything, you need an account on the Passport Seva Online Portal. Head to the official website and click on "New User Registration." You will need to provide a working email address, a login ID of your choice, and a password.

A few things to keep in mind during registration:

  • Use an email address you actually check. All appointment confirmations and updates come through email.
  • Pick a strong password. The portal does lock accounts after multiple failed login attempts, and resetting it takes time you may not have.
  • Complete the captcha carefully. The portal uses image-based captchas that can be tricky to read on mobile devices.

Once registered, verify your email through the link sent to your inbox. You are now ready to start the application.

Step 2: Fill Out the Passport Application Form

Log in and select "Apply for Fresh Passport / Re-issue of Passport" from the dashboard. You will be taken through a multi-page form asking for personal details, family information, address, and other standard information.

Take your time with this form. Mistakes in the application can lead to problems at the RPO, and correcting them later means starting the process over. Double-check your name spelling, date of birth, and address against your supporting documents.

After completing the form, you will get an Application Reference Number (ARN). Save this number. You will need it for everything that follows, including the appointment booking itself.

Step 3: Pay the Government Fee

The portal will prompt you to pay the passport fee online. As of 2026, the fees are:

  • Normal passport (36 pages): Rs 1,500
  • Normal passport (60 pages): Rs 2,000
  • Tatkal passport (36 pages): Rs 3,500
  • Tatkal passport (60 pages): Rs 4,000

Payment can be made through net banking, credit card, debit card, or UPI. Once the payment goes through, your application status changes to "Payment Received," and you become eligible to book an appointment.

Step 4: Book Your Appointment (The Hard Part)

This is where most applicants hit a wall. After payment, you are directed to the appointment scheduling page. You select your preferred Passport Seva Kendra (PSK) or Regional Passport Office (RPO), and the portal shows you available dates and time slots.

Here is the reality: available slots are almost never shown when you check. The demand for appointments far exceeds the supply at most locations, particularly in metro cities like Delhi, Mumbai, Bangalore, and Chennai. New slots are released periodically, but they get picked up within seconds of going live.

Some tips that may help:

  • Check the portal early in the morning. Slots tend to be released between 5 AM and 9 AM, though there is no official schedule.
  • Try less popular PSK locations if you are flexible on where you can travel.
  • Keep your login session active and refresh the appointment page rather than logging out and back in.
  • Weekday slots tend to be slightly less competitive than weekend ones.

If you have been trying for days without any luck, you are not alone. This bottleneck is the reason services like ours exist. We monitor slot availability around the clock and grab appointments the moment they open up.

Step 5: Prepare Your Documents

Once you have a confirmed appointment, gather your documents well before your scheduled date. The exact requirements depend on whether you are applying for a fresh passport or a renewal, but the basics include:

  • Printed copy of your appointment confirmation
  • Original and photocopy of your Aadhaar card
  • Original and photocopy of your PAN card (if available)
  • Proof of address (Aadhaar, utility bill, or bank statement)
  • Date of birth proof (birth certificate, school leaving certificate, or Aadhaar)
  • Old passport (for renewals)
  • Two recent passport-sized photographs

Carry originals of everything. The verification officer at the RPO will want to see them.

Step 6: Visit the RPO on Your Appointment Day

Arrive at the Passport Seva Kendra or RPO at least 15 minutes before your appointment time. The process at the office typically involves four counters:

  1. Counter A: Document verification and submission
  2. Counter B: Biometric data collection (photo, fingerprints, signature)
  3. Counter C: Final verification by the passport granting officer
  4. Counter D: (If applicable) Additional verification or police verification initiation

The entire process usually takes between 2 to 4 hours depending on the crowd. Once you clear all counters, your passport application moves into the processing and police verification stage.

Step 7: Track Your Passport Status

After your RPO visit, police verification is initiated for your address. A police officer will visit your registered address to verify your identity and residence. This can take anywhere from a few days to a few weeks depending on your state and district.

You can track the status of your passport application on the Passport Seva portal using your file number. Once police verification is completed and everything is in order, your passport is printed and dispatched via Speed Post.

Most applicants receive their passport within 15 to 30 days of their RPO visit, assuming police verification goes smoothly.

The Bottom Line

The passport application process itself is not complicated. The real challenge is getting that appointment slot. If you have been spending hours on the Passport Seva portal trying to grab a slot that disappears in seconds, consider letting someone handle that part for you.
